The opportunity

The Document Controller will manage administrative & document control of projects in accordance with legislation, policy and procedural processes and deliver accurate, timely and responsive general administrative services, including general clerical duties as directed.  Flexibility on the location of the role, can be based in Dandenong (Near Pound Road West) , Pakenham (Heasville – Koo-Wee Rup Road) or Ballarat in the CBD.

What to expect in this role

  • Ensure all version-controlled documents are controlled including their registration and distribution via transmittal to ensure only the latest version of documents are available for use.
  • Ensure all version-controlled documents are distributed to all required parties needing to use the documents
  • Ensure all incoming and outgoing project contract correspondence is managed including registration and filing in accordance with the project filing system
  • Assist as necessary with the red line markup process for RFI / NCR amended version-controlled documents and in particular project drawings
  • Operate in accordance with the operating procedures including any process method statements relating to document / correspondence management.
  • Act as the key contact for the document control system including the provision of induction, assistance and training in the document control system.
  • Inform the Project Quality Manager / Project Manager of any significant event or issues that will or may impact on project delivery, particularly in relation to document management and handover.
  • Assist as necessary with the document records handover process
  • Understand, comply and remain current with all Seymour Whyte policies, procedures and compliance training as relevant to your role.
  • Maintain up to date knowledge and application of, legislation, industry standards and technological innovations as relevant to your role.

Our requirement for the role

  • Prior experience in a document control role, preferably in construction or engineering related industries
  • Demonstrable knowledge of the principles for management of version-controlled documents.
  • Prior use of a document management system
  • Intermediate to advanced computer literacy – (Microsoft Suite).
  • Current drivers licence.
  • Developed written and verbal communication skills.
